Appliance Tagging for Safer NZ Workplaces

A frayed extension lead in a workshop, a cracked phone charger behind a reception desk or a damaged power board in a staff room can create a serious risk long before anyone notices it. Appliance tagging gives New Zealand workplaces a practical way to find those risks, remove unsafe equipment from service and keep clear records of what has been checked.
For businesses, landlords, facilities managers and rural operators, electrical safety is not a once-and-done task. Portable appliances move between rooms, vehicles, sites and staff. Leads are pulled, plugs are bent, equipment is exposed to dust or moisture, and damage can develop without being obvious. A well-managed testing and tagging programme helps turn that uncertainty into an organised, repeatable safety process.
What appliance tagging actually means
Appliance tagging usually refers to the inspection, electrical testing and labelling of portable electrical equipment and extension leads. The work is commonly carried out in line with AS/NZS 3760, the standard used for in-service safety inspection and testing of electrical equipment.
The process starts with a visual inspection. This is often where issues are found: cracked plugs, loose pins, split cords, taped repairs, overloaded multi-boxes, damaged casings or signs of overheating. Where appropriate, the item is then tested using suitable equipment to check electrical safety characteristics that cannot be confirmed by sight alone.
If an appliance passes, it receives a tag showing key details such as the test date, the next test due date, the tester and an identifying reference. The tag is useful, but it is not the safety measure on its own. Its real value is the evidence behind it: the equipment was inspected, tested where required, recorded and found suitable for continued use at that point in time.
If an item fails, it should be clearly identified, taken out of service and kept from being plugged in again until it has been repaired and retested or replaced. Leaving a failed lead on a shelf with a warning scribbled on it is not an effective control. People are busy, labels fall off, and the same faulty item can quickly return to use.
Why appliance tagging matters for NZ businesses
Under New Zealand health and safety law, a person conducting a business or undertaking must manage electrical risks so far as is reasonably practicable. Testing and tagging is not a blanket legal requirement for every appliance in every setting. However, it is a widely used control where portable equipment is used at work, particularly where the environment or type of use increases the chance of damage.
The right approach depends on the risk. A double-insulated desk lamp in a clean, low-traffic office is exposed to very different conditions from a grinder on a construction site, a portable pump at a farm, or a power lead used outdoors by a maintenance crew. Test intervals should reflect that difference rather than being set purely by habit or tag colour.
For many organisations, appliance tagging also solves a management problem. It provides an asset record, identifies repeat faults, supports maintenance planning and gives facilities teams a clear view of what electrical equipment is circulating through the business. This is especially valuable across multiple branches, rental properties, worksites or depots where equipment is moved regularly.
A sound programme can also reduce disruption. Finding a deteriorating lead during planned inspection is far preferable to dealing with an electric shock, a damaged appliance or an unplanned shutdown during a busy shift.
Equipment commonly included
Portable electrical equipment is broader than most people expect. It can include computers, monitors, kitchen appliances, chargers, printers, portable heaters, vacuum cleaners, power boards, extension leads, tools, battery chargers and portable RCDs. In commercial and industrial environments, it may also include equipment brought onto site by contractors.
Cords and power boards deserve particular attention. They are frequently handled, bent, dragged, run through doorways or used in temporary setups. A perfectly safe appliance can still become hazardous when connected to a damaged extension lead or overloaded adaptor.
Fixed wired equipment is different. It may require inspection, maintenance or electrical work by a licensed electrician, but it is not automatically managed in the same way as a portable appliance. The best plan is based on how the equipment is installed, used and exposed to risk.
How to build an appliance tagging programme that works
Effective appliance tagging is more than arranging a visit once a year. Start by identifying the equipment your team owns, hires, supplies to staff or allows contractors to bring onto site. This does not need to become a complicated spreadsheet exercise, but there should be enough detail to know what is in service and where it belongs.
Next, group equipment by environment and usage. Office equipment may need a different inspection frequency from tools used on a building site, machinery leads used in a workshop, or appliances used in accommodation and staff facilities. Equipment exposed to weather, moisture, heat, chemicals, dust, vibration or rough handling generally needs closer attention.
Testing should be completed by a competent person using suitable methods and calibrated equipment. The person carrying out the work needs to understand both the test equipment and the limitations of the test. A pass result does not replace a proper visual inspection, and a test should not be treated as a reason to ignore obvious damage.
Keep the records useful. At a minimum, records should identify the item, its location or owner, the inspection and test date, the result, any fault found and the next action required. Digital records can make follow-up easier for organisations with several sites, but a simple system that staff consistently use is better than a detailed system that is ignored.
Finally, make daily visual checks part of normal work. Staff should know not to use equipment with damaged cords, loose plugs, burn marks, cracked housings or exposed wiring. They should also know what to do next: unplug it where safe, label it as faulty, remove it from access and report it. Testing and tagging supports day-to-day electrical safety, but it cannot replace people using common sense around visibly damaged equipment.
Choosing practical test intervals
There is no single test interval that suits every workplace. Frequency should be set according to risk, manufacturer guidance, site rules, industry expectations and the history of the equipment. High-use or harsh-environment items may warrant shorter intervals, while equipment in a low-risk, controlled office can often be managed less frequently alongside regular visual checks.
Construction, maintenance, manufacturing, rural and outdoor work generally need a more active regime because equipment is exposed to rough handling and changing conditions. Portable tools, temporary site power, leads and RCDs are common priorities. Offices, retail premises and professional services businesses may focus on power boards, chargers, kitchen equipment and equipment used in shared areas.
Contractor equipment should not be overlooked. Before portable tools and leads are used on your site, establish what evidence of inspection and testing is required, who checks it and how failed items are controlled. Clear site rules avoid awkward disputes after equipment has already been brought into the work area.
Do tag colours prove compliance?
Tag colours can help teams quickly see when equipment is due for inspection, particularly on large or fast-moving sites. They are a visual management tool, not proof of compliance by themselves. A colour sequence only works when everyone understands it, the intervals are risk-based and the underlying records are accurate.
The same principle applies to any tag. A tag can be missing because it has worn off, not because the appliance is unsafe. Conversely, a current-looking tag does not make a visibly damaged lead safe to use. When in doubt, take the item out of service and have it assessed.
Common mistakes that create unnecessary risk
One common mistake is treating all electrical items as though they carry the same risk. This can lead to excessive testing in low-risk areas while genuinely high-risk equipment does not receive enough attention. A risk-based schedule is usually more practical and more defensible.
Another is failing to act on defects. Recording a failed result is only the first step. The equipment must be isolated from use, repaired by the right person if repair is appropriate, and retested before it returns to service.
Businesses can also overlook equipment that is not part of the main operation. Staff room kettles, portable heaters, cleaners’ equipment, event gear, temporary office setups and personal chargers can all find their way into a workplace. Clear rules about what may be used, who owns it and how it is checked make the programme easier to manage.
For landlords and homeowners, the focus is slightly different. Routine appliance tagging is not automatically needed for every household device, but electrical safety still matters. Damaged appliances, leads and power boards should be replaced or professionally assessed, while fixed wiring and switchboard concerns should be handled by a licensed electrician.
A dependable appliance tagging programme protects people first, while also giving your business a clearer handle on equipment, maintenance and workplace obligations. If your site has changed, new equipment has arrived or tags are no longer being actively managed, it is a good time to reset the process before a small fault becomes a larger problem.
